The app supports uploading multiple invoices in a single PDF file. If the PDF has been scanned in searchable PDF format, the app will try to automatically split the PDF file into separate documents based on page numbers. Alternatively, the app supports manually splitting and combining PDF files.
Splitting PDF files automatically based on page numbers (smart split)
The smart split algorithm tries to automatically split a PDF file that contains multiple scanned invoices in a single PDF. The algorithm analyses the page numbers in the PDF file and spits the PDF file based on the page number information.
Please note: The smart split only works for PDF files that have text information embedded. Most modern scanners support converting scanned images into searchable PDF files. Depending on the scanner this feature may be called "Optical Character Recognition (OCR)" or "Searchable PDF".
Uploading multiple invoices in a single PDF file
By default one pdf file will be treated as one invoice. If you would like to upload multiple invoices in a single PDF file, you need to choose "Add & Split PDF File" from the drop down menu as shown in the screenshot above.
Forwarding multiple invoices in a single PDF file via email
It is possible to forward and split PDF files via email. To instruct the app to split a pdf file, you need to forward the PDF file to a slightly different email address. You need add "split." to the email address and forward emails to "split.billfiles.com" instead of "billfiles.com". The part before the "@" character identifies your company and remains the same. Here is an example:
Lets say your usual email address is:
bills.democo.123456@billfiles.com
You can forward emails to the modified email address below to instruct the app to split a PDF file:
bills.democo.123456@split.billfiles.com
Manually split and combine PDF files
If the app is not able to automatically detect page numbers, it is also possible to manually split and combine PDF files. To get started, please select the PDF documents you would like to split or combine in the inbox. After selecting the PDF documents, the PDF menu will become visible as shown in the screenshot below.
You can then select the operation you would like to perform on the selected PDF file(s).
Split PDF Files (Single Pages)
This option with split a PDF file into single pages. Each document with have exactly one page after the split.
Split PDF Files (Smart Split)
This option will attempt to split a PDF file that contains multiple scanned invoices into separate invoices. If an invoice has multiple pages, the app will analyse the page numbers on a page and try to keep invoice pages together based on the page number information. Please refer to the beginning of this page for details. If the smart split does not work as you expect, you can fall back to manually splitting and combining PDF files.
Combine PDF Files
This option will combine the selected PDF files. This can be useful if you split a PDF file into single pages. If some of the invoices consist of multiple pages, you can use this option to combine multiple PDF files into one PDF file.
